職位描述

Responsibilities:

  • Provide all-around administrative support such as, courier arrangements, procurement, replenishing pantry and office supplies regularly, office maintenance, filing documents, arrange repair or damage in the office, managing door access system and office renovation if any etc.
  • Vendor and supplier management, which includes sourcing, pricing negotiation, and contract arrangement. At least for every contract, we should have 2 quotations. >50k euro 3 quotations.
  • Review vendors and service providers contracts and agreements. Appoint new vendors and/or service providers when required.
  • Coordinate fire drill and occupational safety aspects in office premises.
  • Carry out the clerical documentary work for the purpose to support the company daily operations.
  • Prepare payment voucher and invoice input to system.
  • Make flight booking, hotel reservations and ground transportation for staff and visitors when necessary.
  • Oversee and take responsibility for ensuring the office is clean and tidy.
  • Co-ordinate and organize company activities and events.
  • Perform any other ad-hoc duties assigned by direct manager.

Requirements:

  • Higher diploma holder or above is preferred.
  • At least 2 years of working experience in all-round office administration functions.
  • Good command of both written and spoken English and Chinese.
  • Detail-orientated, responsible, self-motivated, well-organized, and a good team. player
  • Able to work independently.
  • Flexible mindset and proactive work attitude.
  • Proficient in MS Word, Excel, PowerPoint, and Chinese writing.
  • Immediate availability is preferred.
