Job Responsibilities:

  • Operate electronic or computerized scanning equipment to convert hardcopy documents to electronic versions
  • Print and bind documents per client requirement and firm standard
  • Oversee the daily mailing services, data entry and sorting and distributing of incoming correspondences/parcels. Keep record of all mails received using the computer system/tools in a particular order to be able to identify date of receipt, where and whom it was sent to for easy identification to help tracking mails and packages and prevent losses
  • Handle mail circulation internally, collect mails and packages from staff in the organization)
  • Maintain supplies, including shipping and mailing envelopes, boxes, markers, forms stickers, and tape available to ensure that they don’t go out of stock
  • Monitor office public email account if have for general business enquiry and notify corresponding parties to take action
  • Keep the mailroom organized by properly arranging the bundles of mail and packages coming in to prevent littering and jam-packing in the office space
  • Able to perform multi-task and assist others with Administration and Facilities team if required
  • Perform ad hoc assignments from Administration & Facilities manager as required
  • Fill relevant details in distribution and shipping forms, providing accurate information to ensure that mails are delivered to the right locations and people
  • Answer inquiries from employees about posting rates and duration and also inform them about special posting packages and promotion
  • Courier or hand delivers of original documents to customers and managing customer queries
  • Liaise with third party suppliers for the repair and maintenance of office equipment, furniture and fittings
  • Arrange and setup the Internal office event
  • Assist to set up meetings whenever necessary
  • Backup receptionist duties as and when needed

Job Requirements:

  • Form 5 / Hong Kong Diploma of Secondary Education Examination or above
  • With at least 1 year of relevant work experience; preferably in large corporation or sizable business
  • Able to read, write and communicate in English
  • Basic knowledge in using MS suite (e.g. WORD, EXCEL, PDF, Outlook)
  • Good communications skills, attention to detail and reliability
  • Candidate with more experience will be considered as Senior Office Services Associate
