Job Description

We are seeking a dedicated and detail-oriented Sales Admin Officer to join our online and B2B order fulfillment team, responsible for managing online orders and all related activities in the fulfillment process. This role is crucial for ensuring that all orders are processed and fulfilled efficiently while maintaining high levels of customer satisfaction. Key responsibilities include overseeing the entire order lifecycle, coordinating with various departments to streamline fulfillment processes, monitoring order status, and addressing any issues that may arise to ensure on-time delivery. Additionally, the Sales Admin. Officer will liaise with the factory in China to coordinate production schedules and maintain product quality standards, utilizing strong organizational and communication skills to enhance overall operational efficiency.

Job Responsibilities

  • Oversee the management of online orders for both the Hong Kong and US markets, ensuring timely and accurate fulfillment throughout the order lifecycle.
  • Monitor inventory levels across online platforms, coordinating with logistics to manage stock availability and facilitate replenishment as needed.
  • Generate and analyze sales reports for online transactions, tracking performance metrics and identifying trends to inform business strategies.
  • Assist in the preparation of sales documents, proposals, and presentations to support retail initiatives.
  • Assist in training Factory supporting staffs on sales processes and administrative work
  • Communicate with the factory in China to coordinate production schedules, ensuring timely manufacturing of products to meet market demands.
  • Collaborate with the factory and logistics teams to manage shipping schedules, ensuring prompt delivery of products to online and retail locations.
  • Collect feedback from sales and retail teams regarding product performance and relay this information to the factory for continuous improvement.

Job Requirements

  • Bachelor’s degree in Business Administration, Marketing, or a related field.
  • 2 years of experience in sales administration or support roles, with expertise in managing online orders and fulfillment processes.
  • Proficient in e-commerce platforms (e.g., Shopify, WooCommerce) and order management systems.
  • Good proficiency in English in both written and speaking. Proficiency in Mandarin is also required.
  • Hands on, self-motivated, detailed mind and strong communication skills
  • Proficient in MS Office applications (e.g., Excel, VLOOKUP, pivot tables) and Chinese word processing including Wechat/Wecomm
  • Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
  • Detail-oriented, ensuring accuracy in data management and order processing.
  • More experience will be considered as Senior Sales Administration Officer.
