Position Overview: We are looking for an experienced Administrative Assistant to join our team on a part-time basis. This role involves managing various administrative tasks, including office supplies and invoice consolidation. The ideal candidate will be meticulous, able to handle confidential information with discretion, and provide excellent support to our co-founders, if needed for any ad-hoc tasks. Proficiency in both Cantonese and English, spoken and written, is essential for effective communication in our diverse workplace.
Key Responsibilities:
- Administrative Support: Provide comprehensive support to the co-founders and assist with day-to-day office operations. Office & Pantry Supplies: Manage inventory and ordering of office and pantry supplies to ensure the office is well-stocked and organized. Perform various administrative tasks as needed to support office operations and contribute to a productive work environment.
- Invoice Consolidation: Assist the co-founder in handling receipts, invoices, and consolidation for management accounts, ensuring accuracy and proper documentation. Maintain strict confidentiality regarding sensitive information and company data.
Qualifications:
- Proven experience in an administrative role, preferably in a similar setting.
- Strong attention to detail and organizational skills.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
- Experience with payroll systems and invoice management is a plus.
- Fluency in Cantonese and English, both spoken and written, is required.
- Ability to manage sensitive information with discretion.
- Excellent communication skills and a proactive approach to problem-solving.
- Reliable and able to work independently with minimal supervision.
