The Division of Public Policy at the HKUST is seeking an Assistant Project Officer to support the administrative and logistical tasks for the Jockey Club Shining Together with Cross-Cultural Youth Project.
Major duties include the followings:
- Facilitating daily project operations, as well as procurement and payment-related tasks, including processing reimbursement claims, managing service provider claims, handling purchase orders, obtaining quotations, and coordinating follow-up tasks with vendors to finalize purchase orders;
- Maintaining accurate financial records, including tracking expenses and managing invoices;
- Providing administrative support, including arranging stationery procurement, preparing meeting minutes, scheduling appointments, and handling correspondence;
- Assisting with data management and document editing as required;
- Coordinating logistics for meetings and events, including venue selection, catering arrangements, technical setup, and participant registration as required;
- Supporting social media engagement by designing and posting content;
- Undertaking additional duties as assigned.
Applicants should possess a bachelor's degree and demonstrate proficiency in both written and spoken English and Cantonese. The candidate is expected to be detail-oriented and accurate, with strong multitasking abilities, time management skills, organizational acumen, and communication skills. The appointee should be capable of effectively liaising with various departments and stakeholders.
Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint, is required. The position is offered on a one-year contract, renewable subject to performance and operational needs.
Starting salary will be commensurate with qualifications and experience. Fringe benefits including annual leave and medical benefit will be provided where applicable.
