Job Description
We are seeking a highly organized and proactive Administrative Officer to join our team. The successful candidate will provide essential support to our division, ensuring smooth and efficient operations. Key responsibilities include:
Key Responsibilities:
- Meeting and Calendar Management: Schedule and prepare documents for faculty and committee meetings, organize the Division Head's calendar, and provide secretarial support to faculty members.
- Recruitment and Visitor Logistics: Assist in the recruitment process and handle employment documentation with HR, as well as arrange logistics for visitors and seminar speakers, and coordinate conferences and seminars.
- Administrative and Office Support: Manage daily secretarial tasks, track office supplies, handle budgets and correspondence, and process reimbursements while ensuring policy compliance.
- Ad Hoc Duties: Perform any other duties as assigned by the immediate supervisor.
Requirement:
- Bachelor’s degree with at least 3 years of administrative experience.
- Good team player with excellent interpersonal and communication skills.
- A good command of written and spoken English and Chinese (Cantonese and Putonghua) is required.
- Proficiency in Microsoft Office applications is required.
- Knowledge of generative AI workplace productivity tools is a plus.
(Duration: 2 years, renewable)
Starting salary will be commensurate with qualifications and experience. Fringe benefits including annual leave, medical and dental benefits will be provided. A gratuity will be payable upon successful completion of contract.
