The Project Executive, Meetings & Events is responsible to provide full range support of planning and organizing incentive /tour/meeting, proposal making, hotel sourcing, database management, invoicing, on-site management. Besides, this role needs to work with our outsource programmer for the development , fine-tuning and implementation of our in-house E-registration system to meet the needs of different companies for different event program.
Your responsibilities:
Proposal for tender bidding / RFP handling
- Propose flight, hotels, tours, theme and event production according to tender /RFP requirements
Support project implementation and operation fulfilment
- Working closely with event organizers to develop the timeline of an incentive group.
- Formation of a designated working team among team members.
- Flight planning, hotel sourcing, DMC selections, event management and costing submission.
- Designing of site-inspection itinerary and perform site-inspection with event clients when needed.
- Negotiating with all related suppliers/vendors for better price to maximize profitability.
- Customize service contracting and invoicing for specify clients.
- Customize E-registration development for specify needs.
- Managing designated hotlines.
- Data base management to generate flight list, rooming list, tour list, arrival list, departure list and meal list etc.
- Performing on site management, logistic planning and drafting of event technical rundown.
- Preparing on-site scripts, job list and general briefing for all on-site crews and freelance escort guides.
- Attending final meeting with clients prior to event date.
- Airport see-off .
- Meeting with DMC, hotels and related vendors prior to event date.
- Post event evaluation with clients when necessary.
- Following up with final payment after event.
Handling corporate meeting accounts ( global or regional accounts )
- Attending Regular conference calls/ training set by regional team.
- Attending pre-implementation meetings and quarterly review meeting with stake holders or travel arrangers together with our AM.
- Aligning with global or regional policy and guidelines to make sure to meet the SLA and SOP.
- Providing various reports to clients and regional timely.
Networking with all worldwide suppliers
- Attending airlines product briefing.
- Meeting up with overseas DMCs.
- Participating in the familization trip organized by oversea hoteliers, airlines to enhance product knowledge.
Development and implementation for In-house E-registration
- Work with outsource programmer for the development of E-registration program.
- Overseeing the implementation of E-registration .
- Fine-tuning of E-registration whenever necessary.
We’re looking for you if your profile matches the following:
- Post secondary/Degree graduate in MICE related disciplines.
- Minimum of 1 year experience in MICE segment.
- Good customer services and problem resolution skills.
- Good command of spoken and written English speaking, Chinese and Mandarin.
- Proficiency in Microsoft Office: Excel, Word & PowerPoint.
- Can work under pressure and independently.
- Good interpersonal skills and can be a good team player.
- Willing to travel aboard frequently.
- High emotional quotient.
