Job Description
1. Document management: coordinate the sending, receiving, registration and archiving of all kinds of documents and materials of the company to ensure accurate and efficient information circulation.
2. Office environment management: Responsible for the daily operation of the Hong Kong office area, including the maintenance, maintenance and renewal of office space and office equipment, as well as the cleaning and greening of the office area to ensure a comfortable and safe office environment.
3. Management of the company's administrative seal: strictly control the process of using the seal to ensure that the use of the seal is compliant and safe.
4. Daily procurement management: responsible for the company's external business activities, content meetings, employee benefits and other scenarios of material procurement, to ensure the normal operation of internal and external activities.
5. Conference management: responsible for organizing the meeting and ensuring the smooth progress of the meeting process, including the sending of meeting notices, the arrangement of meeting rooms, the preparation of meeting materials, the preparation and distribution of meeting minutes, etc.
6. Group culture landing: Responsible for the implementation of the group company's culture, forming Hong Kong's local culture, and promoting team integration.
7. Relationship maintenance: As the main contact person between the company and local institutions and suppliers in Hong Kong (including business, accommodation, travel, and dining), establish and maintain good cooperative relations.
8. Marketing support: Assist the marketing department to complete the organization and promotion of marketing activities, including the search for conference hotel venues, the preparation of event materials, and the supervision of conference venue layout to ensure the normal operation of business activities.
9. Visa application for overseas employees: Responsible for communicating with the group to ensure the smooth handling of work permits for mainland employees in Hong Kong, including work visas, business visas and other related documents.
10. Employee attendance management: responsible for daily attendance, leave and other personnel administrative affairs of employees, maintain employee files, and ensure accurate and complete personnel information.
11. Coordination and communication: Responsible for coordinating the communication between various departments and the Hong Kong team, ensuring the timely transmission and communication of information, and promoting collaboration and cooperation between various departments.
12. Handling of regulatory affairs: pay attention to the changes in laws and regulations in Hong Kong, timely communicate to the company and assist in adjusting the administrative process.
13. Responsible for the company's administrative affairs declaration and approval in Hong Kong to ensure that the company's operation is legal and compliant.
14. Responsible for the preparation of financial online banking documents, on-site collection and processing of financial documents, bank tax audit docking and other matters.
15. Complete other administrative affairs assigned by superiors.
1. Education and Profession
1. Bachelor degree or above, major in construction, civil engineering, cost, computer and other related majors is preferred.
2. Master the knowledge of the construction industry, be familiar with the design, construction and cost process, and understand the overseas construction market.
3. Understand computer technology, understand software installation and debugging, and be familiar with the basic operation of database.
2. Language ability
1. Proficient in Cantonese and English to communicate
2. Fluent in English listening, speaking, reading and writing, CET - 4 and above is preferred.
3. Work experience
1. 1-3 years of experience in software customer service, technical support or construction industry, Hong Kong permanent residence ID card, overseas work or overseas customer docking experience is preferred.
2. Familiar with the software project process, have project management experience, and be able to coordinate resources to promote the project.
