Logistics Officer

Summary:
The staff will oversee the logistics administrative functions, manage a team of two staff members and ensure the efficient operation of the logistics department. The role involves managing daily operations at an overseas fulfilment center, handling billing, and supporting the Product & Trading and Sales Departments with up-to-date logistics information.

Key Responsibilities:

1. Team Management:

• Supervise the Logistics Coordinator and Shipping Clerk, providing guidance and support.
• Monitor team performance, conduct regular reviews, and provide training and development opportunities.
• Ensure effective communication within the team and other departments.

2. Logistics Administration:

• Oversee logistics coordination activities such as managing relationships with logistics partners (e.g., FedEx, UPS), handling billing issues, customs clearance, and tracking shipping status.
• Ensure all shipping and declaration documents are accurately prepared and filed by the Shipping Clerk.

3. Overseas Fulfilment Center Management:

• Manage daily receiving and fulfilment operations at the overseas fulfilment center.
• Verify and handle billing from the fulfilment center, ensuring accuracy and timely processing.

4. Supply Chain Mapping and Reporting:

• Compile and update a global logistics supply chain map periodically.
• Provide logistics quotation and supply chain information to the product and sales departments for business support.
• Generate regular and ad-hoc reports on warehouse/logistics activities, performance metrics, and areas for improvement.

5. Process Improvement:

• Identify and implement process improvements to enhance efficiency and effectiveness in the logistics department.
• Stay updated on industry trends, best practices, and regulatory changes to ensure compliance and optimal performance.

6. Vendor and Partner Management:

• Develop and maintain strong relationships with logistics partners, vendors, and service providers.
• Negotiate contracts and service agreements to ensure cost-effective and reliable services.

7. Inventory Management:

• Coordinate with warehouse staff to ensure accurate inventory levels and timely replenishment.
• Monitor stock levels and address discrepancies promptly.

8. Customer Support:

• Address and resolve any logistics-related issues or inquiries from customers or internal stakeholders.
• Ensure high levels of customer satisfaction through efficient and effective logistics operations.

If you are:

• Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
• Proven experience in logistics and supply chain management, with supervisory or team lead experience preferred.
• Strong knowledge of logistics processes, customs regulations, and international shipping.
• Excellent organizational and multitasking skills.
• Strong analytical and problem-solving abilities.
• Proficient in logistics software and tools (e.g., ERP systems, shipping software).
• Excellent communication and interpersonal skills.
• Ability to work under pressure and meet tight deadlines.
