JOB DESCRIPTION

Sha Tin College is seeking to appoint a Resources Administrator responsible for the procurement and distribution of resources needed to support teaching and learning at Sha Tin College. This is an important role that involves working with colleagues across the school and requires strong communication and organisation skills.
Responsibilities

General Duties:

  • Reload paper, staples and toner into photocopiers
  • Manage incoming posts, including delivery to staff pigeonhole
  • Manage the sale of printing credit to students
  • Manage the postal franking machine
  • Coordinate outsourced paper shredding service
  • Assist with the distribution of the school yearbook

Student and staff ID cards

  • Prepare student and staff data, including photos, for production of cards
  • Coordinate printing with external contractor
  • Update Octopus records.
  • Manage replacement of lost cards.

Reprographics

  • Manage the production of printed materials upon request, collaborating with colleagues and external vendors as necessary.
  • Provide finishing touches such as trimming, laminating, and binding as requested.

Textbooks And eLearning platforms

  • Manage the purchasing of new textbooks.
  • Coordinate the distribution of textbooks to students, including collection.
  • Manage subscriptions and licenses for eLearning platforms and edtech apps.
  • Update resource purchasing lists for parents, guardians and students.

 Resource And Inventory Management:

  • Manage stocks of stationery and other resources, including food and beverages for the staff room and PTA events.
  • Prepare monthly resource usage reports.
  • Invoice the PTA for any resource consumption for PTA events.
  • Update lists of resources for parents and students to purchase from third parties.
  • Manage the replenishment of toner and paper for photocopiers and printers.
  • Distribute resources to teachers and students as needed.
  • Prepare department budget for Resources.

School Event Support and Coordination:

  • Assist in organizing and coordinating school events, including:
    • providing refreshments;
    • assisting teachers with displays for events

Other tasks:

  • Complete tasks assigned through the College Helpdesk independently,
  • Participating in a variety of ad hoc assignments to support school activities and objectives.
  • Provide cover for school reception.

The Resources Administrator will report to the Senior Leader - Learning Technologies and Systems. This is a full-time position and is available immediately.

Requirements

General Requirements:

  • Secondary school graduate with good proficiency in the use of English in an English-speaking working environment
  • Minimum of two years of resource administration and printing/publication, preferably within a school environment
  • Applicants must be a permanent Hong Kong resident or possess a valid visa to work in Hong Kong

Core Professional / Technical Competencies Required:

  • Good knowledge of Microsoft Office Suite, especially Excel
  • Effective organisation skills
  • Good attention to detail
  • Effective communicator in spoken and written English and Cantonese
  • Supportive and flexible team player
  • Willing to learn and take on new tasks
  • Operates to high professional standards

Development / Training To Support Role Competencies:

  • Development activities: To be negotiated as part of the performance management process
  • Relevant courses: To be negotiated as part of the performance management plan
