- Lead, manage and fully utilize the manpower and resources of the Admin Department
- Prepare annual budgets, develop cost-control measures on office expenses / supplies
- Manage office administration, logistics, facilities and equipment maintenance, office supplies procurement, office manuals and workplace safety, office sanitary etc.
- Maintains office services by organizing office operations and procedures, designing filing systems, reviewing supply requisitions, etc.
- Be responsible for attaining company recognition in related to office Admin including but not limited to Energy Wise & Waste Wise application.
- Design and implement office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments
- Keep management informed by reviewing and analyzing special reports; summarizing information; identifying trends
- Achieve financial objectives by preparing an annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions
- Keep track of donations and sponsorships, marketing / advertising expenses
- Be responsible for organizing Company events like Annual Dinner
- Liaise and communicate with stakeholders and external parties as needed
- Be the person-in-charge of renovation / relocation projects
- Keep track of office fixed assets with proper records
- Manage and ensure the smooth operation of the Penthouse including but not limited to wine and stock management, and hospitality service management
- Manage the insurance, maintenance and expenses summary report of the cars and yacht.
- Office Antiques’ maintenance, security, insurance & cleaning, etc.
- Plan and coordinate in office Seating Plan and arrange office furniture setting
- Complete ad-hoc projects as assigned by management
Requirement
- Diploma/ Degree holder (not specified/ Business Management/HR)
- Minimum 8-15 years' solid experience
- Strong sense of responsibility and common sense, hands-on and committed to deliver quality service
- Organized, detailed, able to handle multi-tasks effectively and prioritize works to meet tight schedules/ deadlines
- Excellent communication, interpersonal and supervisory skills
- Proficiency with MS Office in bilingual
- Ability to multi-task and to work with minimal supervision
