Job Description
Job Responsibilities:
- Liaising with suppliers and contractors to carry out repairs and maintenance works, procurement and refill stocks for the furniture, equipment, stationery and consumed items etc. on a timely manner
- Act as conduit between office contractors, Building Management office and internal management
- Organize flower arrangement for the office or on special occasions, or in regular basis
- Maintain updated list of security access card information and key inventory
- Monitor office cleanliness, ensure office premises are in good condition and liaise with building office management where necessary
- Cost allocations for suppliers and contractors
- Assist in the preparation of various projects and maintenance works
- Handle daily operation including security services, maintenance, cleaning services and move, add, change works
- Arrange and setup the Internal office event
- Greeting clients & guests with professional manner
- Pantry refreshment order arrangement
- Ensure proper maintenance of equipment in conference rooms and replace on time
- Update telephone list in conference rooms, pantry, general office and reception area time to time
- Assist to set up meetings including VC meeting whenever necessary
- Monitor reception area cleanliness and ensure a quality working environment at all times and report if anything needs to be fixed up or replaced
- To assist in ad hoc duties required by fee earners (e.g. catering etc.)
- Arrange seating for new joiners, placements, trainees, visitors as well as coordinate seat/room moves with staff and General Office
- Liaise with IT for the provision of computers, telephones and PIN numbers for new joiners, trainees, placements and visitors, and maintain up to date records
- Handle staff enquiries, requests and complaints
- Backup receptionist duties as and when needed
- Any other ad hoc work as directed by the Administration & Facilities manager
Job Requirements:
- Form 5 / Hong Kong Diploma of Secondary Education Examination or above
- At least 1-2 years of facility management's experience
- Excellent English written and verbal communication
- Excellent Cantonese / Mandarin written and verbal communication
- Strong commitment to quality / delivery and a customer service culture
- Ability to deal with staff of all levels
- Quick and confident and have a solution driven aptitude
- Adaptable to change
- Use own initiative and organize own work schedules within broad guidelines agreed with the Facilities Manager
- Proactive to identify areas where development /change is required and to co-ordinate with Management and staff as necessary
- Ability to deal with unpredictable problems quickly and calmly
- Willingness to work unsociable hours in exceptional circumstances
