Job Description:
We are seeking a highly organized and dynamic individual to join our company as an Operations Officer. The successful candidate will play a vital role in providing administrative and accounting support, ensuring the smooth and efficient operation of our fast-paced environment.
Your primary responsibilities will include managing documentation, maintaining organizational workflows, and assisting with office operations. You will also support management with various tasks as required. In this role, adaptability, attention to detail, and a proactive attitude are essential for success.
As part of a small and busy team, you will need to work independently and demonstrate initiative in a fast-paced environment. Occasionally, you may also need to accompany the Project Team to work sites for meetings or events.
Responsibilities:
- Schedule and coordinate client meetings for managers, including preparation of meeting materials, arranging refreshments, and managing logistics such as conference call and video conferencing setups.
- Provide comprehensive administrative support for daily office operations, including reception duties, courier management, handling incoming calls, and maintaining office supplies.
- Arrange travel and accommodation logistics as needed.
- Accurately process expense reports and invoices, ensuring compliance with company policies.
- Assist in month-end closing and provide timely management reports.
- Prepare meeting agendas, presentations, and necessary materials, and provide support during meetings as required.
- Respond to inquiries from internal staff and external clients via phone and email.
- Greet guests warmly and professionally upon arrival.
- Perform ad hoc duties as assigned from time to time.
Requirements:
- 3-5 years of experience in a similar operations, accounting, or administrative role, preferably in the finance industry.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams, etc.).
- CPA qualification is advantageous but not mandatory.
- Ability to handle confidential and sensitive information with discretion.
- Excellent verbal and written communication skills in English and Mandarin.
