Job Description

 Responsibilities:

  • Manage appointments, schedules, and comprehensive travel arrangements for senior management (Vice President and above levels), including hotel accommodations, ticketing, visa applications, travel insurance, and all required travel documentation.
  • Serve as a strong communicator and liaison between senior management and other departments, encompassing global, regional, and country-level counterparts. Handle internal and external communication with various parties effectively.
  • Provide proactive and efficient support in preparing for meetings, organizing meeting invitations, agendas, reports, and any other meeting materials.  Ensure logistical support is in place.
  • Prepare various correspondence, reports, presentations, expense records, approvals, and maintenance according to company processes and policies.
  • Maintain confidentiality of information, files, and materials to ensure information security and proper use.
  • Responsible for comprehensive travel planning and logistics, including organizing travel arrangements for individuals or groups, such as flights, accommodations, transportation, and itineraries. Liaise with overseas operations to facilitate meeting schedules.
  • Coordinate travel logistics, make reservations for flights, hotels, rental cars, and other travel-related support, ensuring compliance with group or company policies.  Provide support to travelers for any unexpected travel disruptions, answer queries, and offer guidance on travel-related matters.
  • Coordinate and participate in project-based work as requested.

Job Requirements:

  • Degree holder in Business Administration or relevant disciplines 
  • 5 - 8 years secretarial experience in a multinational organization
  • Experience from travel agency or the aviation industry, solid knowledge of hotel or ticket reservation system, such as internet booking tools would be advantageous
  • Fluency in English and Chinese (including Mandarin and Cantonese) is essential
  • Advanced proficiency in MS applications (Outlook, Word, Excel and PowerPoint)
  • Strong problem-solving, interpersonal and communication skills
  • Independent, positive work attitude, attentive to details, self-motivated
  • Possess a high level of cultural intelligence
  • Able to work under pressure in a fast-changing environment, multitasking and meet tight deadlines
  • Candidate with more relevant experience may be considered for the post of Assistant Manager
