Job Description
HKUST is looking for a dedicated individual to provide operational and administrative support within the Global Engagement and Communications Office (GECO).
The successful candidate will play a crucial role in ensuring the smooth functioning of the office through various administrative tasks and support functions.
Key Responsibilities:
- Provide comprehensive administrative support for GECO, including receptionist duties, managing supplies, maintaining office spaces, handling mail and parcels, and performing various clerical tasks.
- Manage e-procurement processes for teams, including requisitions and goods receiving.
- Handle staff expenses reimbursement and P-card statement settlement.
- Support recruitment activities by scheduling interviews, preparing candidate folders, and coordinating with HR for a seamless interview process.
- Offer administrative and secretarial support to the Associate Vice-President (Global Engagement and Communications) during her secretary's absence.
- Undertake any other ad hoc duties as required.
Qualifications and Requirements:
- Minimum of 5 passes, including English, Chinese, and Mathematics in the HKCEE; or equivalent qualifications in the HKDSE.
- At least 2 years of experience in office administration.
- Proactive, detail-oriented, a strong team player with a sense of responsibility, capable of multitasking and working independently.
- Proficiency in written and spoken English and Chinese (Cantonese and Putonghua), as well as computer skills.
- Experience in higher education and familiarity with e-procurement systems are advantageous.
(Duration: 2 years, renewable)
Starting salary will be commensurate with qualifications and experience. Fringe benefits including annual leave, medical and dental benefits will be provided. A gratuity will be payable upon successful completion of contract.
