Job Description

Main Job Responsibilities:

Strategic Planning for Organisation Advancement
i. Work with Senior Management Team (SMT) for strategic planning of future development of the Academy;
ii. Formulate annual plan and define performance indicators for the division and teams and oversee the implementation;
iii. Work closely with Executive Director (ED) and Associate Director (Programme) (AD) on the planning of staff professional development initiatives;

Divisional Planning and Management
iv. Supervise team Managers for team management and performance;
v. Oversee and advise the management on respective areas under the scope of the Corporate Services Division;
vi. Provide secretariat support to the Board of Directors (BoD) and Functional Committees;
vii. Communicate and coordinate with Education Bureau (EDB) on matters related to subvention and operations of the Academy;

Staff Management and Quality Assurance
viii. Oversee the daily operation of the Division and manage office routines;
ix. Devise annual divisional budget and monitor expenditure and variances regularly;
x. Review and update operational procedures, guidelines and policies regularly;
xi. Oversee quality assurance measures to maintain accountability, supervise policy compliance, staff performance and development planning;
xii. Assign job duties, formulate teamwork, devise staff performance parameter and conduct appraisals for subordinates;
xiii. Conduct situational analysis of the Divisional strategies and achievements regularly and report to ED, BoD and functional committees;
xiv. Manage human resources and advise ED and AD on staff management, professional development and recruitment initiatives.


Requirements:

  1. Bachelor's degree from a Hong Kong university, or equivalent, with a higher degree is preferred;
  2. At least 12 years of post-qualification experience in Board Secretarial support, finance management, general administration, human resource management and public relations with strong social media experience, 5 years of which should be at managerial level. Experience in Information Technology management is preferred;
  3. Candidate with good track record in performing Board Secretarial duties will be a definite advantage;
  4. Previous experience in NGOs is highly preferable
  5. Good communication skills with an excellent command of both written and spoken Chinese and English; proficiency in Putonghua will be an added advantage;
  6. Computer knowledge in MS Office applications;
  7. Mature and effective interpersonal skills; good presentation, negotiation and management skills;
  8. Self-reliance, energetic, independence of thought and a proactive work ethic.

Terms of Appointment:
The successful candidates will be offered a fixed-term of contract. Re-appointment will be subject to mutual agreement and good performance. A gratuity payment will be payable upon satisfactory completion of the contract. Fringe benefits include annual leave, medical and dental insurance.
