Job Description

Reporting to the Head of Project team, the Associate Project Manager / Project Manager is responsible for the efficient management and production of MedComms projects, ensuring timely, high-quality project delivery by managing client relationships, coordinating teams, and optimizing workflows. Responsibilities include maintaining budgets, quality assurance, and bilingual support for English and Chinese projects.

Job Responsibilities

  • Oversee and track progress of editorial projects ensuring all deliverables meet specified timelines, budgets and quality standards
  • Build and nurture strong relationships with clients, acting as the primary point of contact throughout project lifecycles
  • Understand clients’ brand portfolios, goals and needs to provide tailored, strategic advice and MedComms solutions
  • Collaborate with clients to gather and refine necessary materials to support seamless project delivery
  • Monitor project budgets and scope, proactively managing risks and changes to keep projects on track
  • Ensure all projects tart with clear, comprehensive briefs that define objectives, scope and deliverables, and confirm internal alignment before kick-off
  • Regularly communicate project updates, address client inquiries and ensure client satisfaction with timely follow ups
  • Drive progress and ultimate delivery of projects by coordinating with cross functional teams, including editorial, business managers, design and production teams
  • Track project costs, identify potential overruns, and implement corrective actions to maintain profitability
  • Identify opportunities to optimize processes or reduce costs
  • Maintain all project records including briefs and correspondence on internal shared drive
  • Upload and publish client-approved articles to the content management systems
  • Conduct quality assurance for all projects to ensure content meets highest standards and is aligned with client objectives
  • Attend symposia when necessary (occasional attendance required during weekends or weekday evenings)
  • Liaise with external stakeholders, freelancers and 3rd party vendors as needed for projects and/or events
  • Monitor digital communications/campaigns delivery, work with regional teams to recommend campaign optimization options as needed, and provide ongoing quality assurance support for digital projects
  • Ensure that projects are delivered to brief, time and budget and all quality control procedures are followed
  • Facilitate internal alignment by regularly updating all team members on project priorities, timelines and changes

The above duties relate to the handling of English and bilingual projects. Assistance with Chinese projects is of equal priority to English projects.

Requirement

  • University graduate
  • Minimum 5 years working experience in project and/or account management
  • Proficiency in Microsoft Office applications, especially PowerPoint and Excel
  • Experience using project management tools like Asana and Trello
  • Excellent co-ordination and multi-tasking, communications, and problem-solving skills
  • Strong organizational skills and attention to detail, with the ability to manage multiple projects simultaneously while meeting deadlines
  • Works well in a high-pressure environment with tight deadlines
  • Available to work/travel occasionally over weekends
  • Excellent in English both speaking and writing
  • Bilingual in English and Cantonese
