Job Description for Administrative Assistant

Leeha Capital is an independent family office with financial investments and wine and spirits businesses. The family has Asia/ European heritage and activities with its main office is based in Hong Kong. The role is for an Administrative Assistant for the two principals; this is the second assistant at the office who will work independently, not in a supporting role. 

Description

  • The scope of work is broad, varied and offers many possibilities for growth.  The candidate should be proactive, comfortable with multi-tasking, organized, respecting deadlines and dealing with different areas/industries and able to adapt quickly to new situations
  • The ability to be self-organized and prioritize, attention to detail and a diligent “can do” attitude would be important
  • As the role provides substantial exposure to the principals’ personal matters and contacts, discretion and integrity are key values to abide to
  • This candidate would be second assistant who will work independently with his/her list of tasks and not in a supporting role to the lead assistant; office is based in Central
  • Candidate is required to have work experience of 3-5 years but not required to have direct administrative assistant experience
  • Required to have fluency in English and Cantonese. Most written correspondence will be in English. Must be capable in Microsoft Excel, Word, Outlook and some basic PowerPoint skills

Responsibilities

  • As the second assistant at the office, responsibilities will focus on the Company’s wine and spirit businesses as well as senior management personal matters
  • For Personal:
    • Management of household; domestic helper and driving staff, settle bills in timely manner, handle maintenance related matters
    • Draft weekly child schedule and coordinate driver’s schedules; assist with child activities and applications
    • Handle management’s international travel bookings and schedules; assist with hotel and flight reservations
    • Coordinate and liaise with yacht team on various ad hoc needs
  • For the Wine and Spirit businesses:
    • Build and follow customer relations process for those who order; pre order invoices, compile orders on Excel, check stock, confirm payment and delivery information, coordinate delivery with driver
    • Record daily activity of sales contacts to build a comprehensive customer database
    • Draft social media and posts
  • Basic communication with affiliated offices in Europe, Japan and South America when relevant
  • And many more possibilities depending on the applicant’s strengths and interests

Offering

  • Working hours are 9am to 6:30pm from Monday to Friday
  • Salary and annual leave days are subject to discussion depending on the candidate’s background and level of experience
